You decide against number one because it will most certainly offend the client and make him even angrier than he is already. What's more, typing in ALL CAPS is called '"shouting" in e-mail, and should be avoided.

You decide against number two because it is overly conciliatory. It makes you sound as if you do not know for sure what you are doing. You want to state your case without sounding unprofessional and incompetent.

The smiley face at the end is called an emoticon and is used in informal correspondence to indicate goodwill. It should not be used in professional correspondence.

You decide on number three. It acknowledges that you understand the client's frustration. You remind him tactfully that you have shown him how to enter records, and you offer additional assistance if needed.

"A lot of problems are caused by the clients' mistakes. When this happens, I have to communicate very tactfully because I don't want to offend the client," says Robert Feehan, a database administrator. "I receive a lot of messages from my clients by e-mail."
